A policy or procedure is created by one party, shared with others, and approved by yet another. Whether the document is emailed or stored on a company share drive, it will be opened by multiple individuals, modified and saved again. Each of these steps creates an opportunity for document loss or unintentional overwrites, virtually ensuring poor version control.
PolicyTech®’s integration with Microsoft Word allows owners to create documents, assign workflow actions and timelines, and track changes within the PolicyTech user environment. Stakeholders receive automatic emails based on their role and sequence in policy development, and they are able to edit the most current version of the draft with visibility into edits from other participants in the workflow. The document owner will access one copy of the document with all the track changes together to quickly accept or reject.
Confidence in Document Control
- Document owner selects a document needing review. She reviews the template for writers, reviewers and approvers. The document owner submits the document for review and the reviewers and approvers are all notified by email.
- When a reviewer opens the document, other users are restricted from accessing the document. By selecting “Revise” the document becomes editable and track changes are automatically turned on.
- After the document is reviewed and approved by all the stakeholders, the owner is able to see the track changes of all the reviewers. Once revisions are accepted, the new version replaces the old version.
Edit Without Downloading Documents: With Word integration, there’s no need to download, edit and upload a document into the policy management platform. It’s all there and ready for mark up without needing to exit PolicyTech at all.
Comfortable User Experience: Users are able to edit documents in the comfortable and familiar Microsoft Word, simplifying the workflow for users who are writing, editing and approving your critical policy documents.
Version Control: PolicyTech attaches key identifiers to the Word document, including owner, editors and workflow timelines. After stakeholders make revisions, the next person in the chain will have the most recent version of the document.
