Admittedly, no company can be perfect. So, if employees notice something that may be unethical at work, Con-way wants to hear about it and fix the problem. Michele Reed, the company’s Ethics and Compliance Administrator, is in charge of the issue reporting system and conducting ethics training for employees.
Michele has a straightforward point of view: In some situations, people can feel pressured to lower their standards and make unethical choices. “In hard times, it is more important than ever to maintain
our standards. We make sure employees understand that.” So, when policies are violated–whether it involves dishonesty with time cards, financial misconduct or anything else–it is important for Con-way to be aware of the problems early and resolve them. The company initially tried using a hotline and a basic program for managing the calls. However, that system was not user friendly, was time consuming and lacked the functionality Con-way needed. In search of a hotline that was fully integrated with a case management system, Con-way selected NAVEX Global’s EthicsPoint Incident Management (EPIM) solution.
Michele worked with NAVEX Global’s implementation team to customize the EPIM system to fit Con-way’s report intake and reporting needs. A key need was being able to manage multiple types of issues in a centralized structure. Michele was impressed by how quickly EPIM could flex to bring human resources issues, internal audit, and real-time safety reports into a shared database while maintaining each department’s autonomy and workflow preferences.
When employees approach managers to discuss concerns, suggestions or complaints, Michele instructs the managers to document the process and add the issue into the system as a case. That way, based on the nature of the reports and the locations from which they originate, Con-way is able to identify potential patterns to gain insight into workplace issues. With everything documented more consistently, Con-way can quickly identify particular types of concerns that may be turning into trends. The company can then proactively deploy highly targeted training and awareness programs to counter the issue. And with a few clicks, Michele can report her findings and program results to the Board of Directors using charts and graphs generated from within the EPIM incident management system.
